Board members would receive an email from the County Clerk notifying them that the packets are ready <br />and a direct link to where they can download the file. <br />Cost per Board Member <br />Cost of Wad (32GB) ($600 each): <br />$4,200 <br />Protective Cases /Stylus Pens: <br />$525 <br />Additional Software needed ($10 each): <br />$70 <br />Wi -Fi if needed at Board members home, assuming high speed Internet exists ($60 each plus <br />installation): $420 <br />The total one time expenditures in order for all Board members to be online with the Wad and <br />necessary hardware /software is $5,215 which is 25% of what the County currently spends annually to <br />physically produce and distribute the packets. <br />The iPads can either be the property of the County for the duration of a Commissioner's term or the <br />County can allow the Commissioners to purchase the ipad through the employee purchase program. <br />The employee purchase program is a 12 month lease where payments are deducted each pay period <br />from the Commissioners allowance. A Board member will be allowed to purchase their own applications <br />or download them for free. However, it is important to remember that these iPads may be subject to <br />some level of inspection via public record statutes. The advantage of the iPad is that it requires very <br />little outside support and also has GPS functionality built in that makes it very difficult for it to remain <br />lost or stolen if that happens. The County can purchase protective cases and stylus pens for use with <br />the iPads which can be owned by the County or part of the employee purchase program. In certain <br />cases the County may need to purchase a wireless router and install it in the Board member's home and <br />the cost of that router as mentioned above is roughly $60 plus any installation cost that may be <br />associated if not performed by County IT staff. <br />I realize that moving to a paperless agenda system is change to say the least but as you can see from this <br />proposal it will allow the County to save money, apply operational efficiencies, and institute <br />environmental conservation methods as well. <br />Thank you for your consideration of this proposal. <br />John A.
