(. 9 G <br />ii. A specific description of the documents requested including, if <br />possible, the subject of the document(s), the author of the <br />document(s), and the date of the document(s). <br />iii. The Lee County department or office from which the document is <br />being requested. <br />iv. That, if necessary, they agree to pay the reasonable cost of <br />producing the record as provided herein. <br />v. Signature of the requesting party, corporate officer, or attorney. <br />f. Requests for documents promulgated by other County Departments but <br />maintained by the Lee County Public Library for public convenience shall <br />be referred to the originating department for production. In the <br />alternative, copies made of such documents at the public library by a <br />requestor shall be billed at the then - prevailing library copy machine fee <br />schedule. <br />g. Documents that have not been collected or reviewed within 25 days of <br />notice to the requestor shall be returned to the file or disposed. <br />3. Processing a Public Records Request <br />a. Once a written request is received by the office that has custody of the <br />record, the custodian of the record may, at his /her discretion, either: <br />i. Make copies or send facsimile copies of the requested document <br />and charge the requester for production costs as provided herein; <br />or <br />ii. Make the records available to the requestor for purposes of <br />allowing him /her to identify which documents lie /she wants copied <br />(records shall not be allowed to leave the building). The office <br />shall thereafter make copies of the requested document(s) and <br />charge the requestor for production costs as provided herein. <br />b. Public records requests shall be processed within twenty -five days of <br />receipt of the request by the custodial office. The custodian of the record <br />shall notify the requestor in writing if the request cannot be processed <br />within fifteen days and shall identify the date by which the documents <br />should reasonably be prepared for review or receipt. <br />c. Requestors may not remove or take public records from county offices for <br />purposes of making copies elsewhere or for any other reason. <br />
